Protecting patient data in medical practices
Practical controls to help GP clinics protect sensitive patient information across clinical software, email, devices and third-party services.
Reviewed 1 November 2026 · General educational guidance for Australian healthcare organisations
Know where patient information goes
Map the collection, storage, access, transfer and disposal of patient information. Include cloud clinical systems, scanned documents, shared inboxes, referrals, backup systems and outsourced service providers.
Control who can see records
Use role-based access, unique staff accounts, strong authentication and periodic reviews of privileged accounts. Establish a process to remove access when employment or service arrangements end.
Secure common transfer points
Review email handling, secure messaging, patient portals, remote support tools and device encryption. Avoid sending identifiable records through unapproved personal channels.
Monitor and respond
Enable appropriate audit trails, investigate suspicious access and keep a documented response procedure. Review contractual responsibilities for notifications, investigations and technical assistance.
Protect information throughout its lifecycle
Consider retention requirements, backup protection, secure disposal and access to archived records. Privacy and security responsibilities continue even when information is held by a third-party provider.
How an assessment can help
A privacy-focused security review can document observed technical and process gaps, identify risk owners and provide a practical remediation roadmap. It should be distinguished from a formal legal compliance determination.
